Practical automation for small businesses

We automate your repetitive tasks.

We connect your tools so your team can stop copying data, putting reports together, and chasing routine updates.

You get the automation, documentation, and training to manage it yourself. Our ongoing support is optional.

What we can automate

We connect inboxes, spreadsheets, and software so your team spends less time moving the same information.

01

New customers & follow-ups

Get new inquiries, client details, and documents where they need to go. Keep the next step moving without relying on someone’s memory.

Forms → customer records → reminders
02

Reports & documents

Turn information you already collect into a useful report, summary, or document. Your team reviews the finished work.

Photos, forms, or spreadsheets → formatted reports
03

Records & payment matching

Match orders to payments, spot differences, and send items that don’t match to the right person for review.

Orders + payment records → missing payments to review
04

Handoffs & updates

Pass work to the next person with the details they need. Send routine status updates without another round of copy-paste.

A status change → a task, notification, or update

You own the automation.

You receive the workflows, custom code, documentation, and access needed to run your automation. We train your team to handle routine changes and checks. Manage it yourselves, work with another provider, or use our optional support—the choice is yours.

How we work

We agree on the task, the expected result, and the price before we build anything.

  1. A short call

Walk us through the task, the tools, and where things get stuck. In a free 30-minute call, we’ll discuss whether automation would be a good fit.

  2. A prototype to review

We build a prototype using your sample data. You review the results before deciding to move ahead with the full setup.

  3. Setup and training

We set it up and hand over the code, documentation, and a recorded walkthrough. Your team learns how to run it, test changes, and handle common issues. You get 15 working days of fixes for problems with the agreed work after launch.

Included with every build

Documented workflows
Clearly named steps and notes explaining the logic, plus the workflow files and custom code. Your team or a future developer can see how it works.
An operating guide
A short guide covering how to run and restart the automation, where access is managed, routine checks, and common fixes.
Clear error alerts
Email or Slack alerts explain what went wrong and the next step to take, so your team knows what needs attention.
A recorded handover
A walkthrough showing how to run a test, make routine changes, and check results. Your team can revisit it and share it with new staff.

You keep these materials whether or not you choose ongoing support. Third-party software retains its own license terms.

Report automation pricing

Full pricing and support details →

Turn information from one place, such as a form or spreadsheet, into one report format. We agree on the details first. Other tasks are priced separately.

$500

for the prototype

$1,000

to set it up · $1,500 total

What’s included, timing & refunds

Prototype and refund

The prototype takes three business days once we have your sample files, report format, and the access we need. If we cannot show you the report we agreed to build within that time, we start a full $500 refund. If you continue, the $500 counts toward the $1,500 total.

After the prototype

If you stop after the prototype, you keep the sample report and a written plan explaining how the system would work. If you approve it, we set it up for everyday use within five business days. That includes the handover materials listed above and clear alerts if something goes wrong. If a temporary problem interrupts a task, the system tries again automatically.

Help after launch

You get 15 working days of fixes for problems with the agreed work after launch, included in the price. You can make further changes yourselves or use a provider of your choice. Additional work carried out by Runlean Ops is quoted separately.

Hosting and monthly costs

Your automation runs on a cloud server, so it can work even when your team’s computers are off. The monthly hosting cost is separate from the one-time build fee. Choose who manages the hosting account and maintenance.

Hosting & support

$99/month, including hosting

We host your automation and help keep it running. Your plan includes hosting, monitoring, security updates, daily backup checks, and help investigating problems with your existing automation.

Includes up to 30 minutes of troubleshooting or minor fixes each month. We respond within two business days to acknowledge and assess the issue; resolution time depends on the problem. New workflows and larger changes are quoted separately, with your approval before work begins.

Support is optional. You keep your workflows, code, and documentation, and can move to your own hosting or another provider.

Your own cloud account

We set up the automation on a cloud server (VPS) in your account. You pay the hosting provider directly and retain control of the account.

Estimated hosting: about $10/month

This estimate covers the cloud server for a small setup. The actual cost depends on your provider and usage; maintenance and any other paid services are separate.

Manage the automation with your team or another provider. You can also hire us for support or changes when needed.

Our $99/month plan is optional and includes hosting. If you manage your own cloud account instead, you pay your provider directly. Other paid software or services are separate; we explain those costs before you start.

Example: a weekly report

If your team copies figures from a spreadsheet into a report every Friday, we could automate those steps and have the report ready for review.

We’d first check where the information lives, what the report needs to include, and which parts still need a person’s judgment.

Common questions

Do you only work with one industry?

No. We work with small businesses whose teams spend time moving information, putting documents together, or chasing routine tasks. We look at how you work and the tools you use to decide whether we can help.

Do we need to replace our current software?

Not necessarily. We can often connect the tools you already use. There may also be opportunities to replace paid subscriptions with automation you own, reducing your monthly costs. We’ll review what you use, explain what’s worth keeping, and compare any potential savings with the cost of building and running the replacement before you decide.

Do we need someone technical on the team?

No. We handle the initial setup and train your team to run the automation and make routine changes. You get written instructions and a recorded walkthrough to refer back to. For ongoing maintenance or more complex changes, we can stay involved as your automation partner. You choose when and how much support you need.

Can we change the workflow later?

Yes. Your team can edit the workflow, add steps, or change it as your business grows. We provide the workflow files, custom code, documentation, and training for routine changes. You can also work with another provider or bring us back for specific work. No Runlean Ops support plan is required.
